Terms And Conditions

Quotations:
All prices are generally speaking subject to V.A.T at the current rate of 17.5%. However if you wish to collect a cold buffet from our premises then this will also be free of V.A.T.

Linen Hire:
We can arrange on your behalf the hire of all linen, aswell as a choice of coloured napkins. Prices vary, depending on quantity & quality required. You will need to take replacement costs into account on your insurance to cover damages.

Personnel:
We will provide professionally trained Chef’s for service & all service staff to ensure the smooth running of your event at the following cost:

Bar & Wine service:
Pantiles Catering Company holds full licences & can arrange a cash bar for your guests. We are also able to apply for an extension should it be required for your event at an additional cost to a normal licensing hours application, eight weeks prior notice is required. A small corkage charge of £2.50 is applicable if you supply your own beverages. This covers all glassware hire & staff to serve your drinks.

Breakages:
All breakages & loss of crockery, cutlery, glassware & linen will be charged at trade prices to enable replacement.

Deposit:
A 20% deposit will be required to secure your booking, with the balance due 7 days prior to the event. Before paying the deposit, the client is advised to read these terms & conditions carefully. If there is anything you do not understand please contact us for clarification. Please sign & return the terms & conditions along with your deposit.

Cancellation:
If a booking is cancelled by you the client we reserve the right to charge in full for the cancelled event, as we will suffer cancellation and other penalty charges from our suppliers. As all deposits paid are non-refundable, we recommend cancellation insurance. All cancellations should be made in writing and sent via registered post. Pantiles Catering Co. reserves the right to cancel any booking, without any liability on its part in the event of damage or destruction to our premises by fire or any other causes, any shortages of labour or food supplies, strikes, walkouts or industrial unrest or any other causes beyond our control, which shall prevent us from performing its obligation in connection with any booking. In these circumstances every effort will be made to accommodate the booking with another outside catering company of similar standard.

Final Numbers:
These are required 14 days prior to the event, and our final invoice must be based on that figure, regardless of subsequent cancellations there may be. Additional guests will be charged for. In the case of large events, if numbers drop dramatically to what was originally agreed, then a charge may be made to cover lost revenue and monies lost by turning away other events.

Venue:
The client must provide a service area & sufficient tabling, lighting etc for our use; the size of the area will be dependant on the number of people attending, equipment required, cuisine & style of service. Clients are also to arrange for disposal of all refuse and to provide an area where cardboard boxes, empty glass bottles & black sacks etc may be placed to await removal. This MUST be within easy reach of the catering area.

Parking:
It is the client’s responsibility to make sure Pantiles catering Co. has adequate access for our vehicles irrespective of weather conditions. In the case of adverse weather, we require sufficient access for our large heavy goods vehicles to park directly outside the catering area.

Weather Conditions:
In the case of adverse weather conditions it will be the clients sole responsibility to provide adequate hard flooring & lighting outside the catering area.

Post event clear-up:
After most events we will endeavour to take away all our equipment on the day of the event. However if the situation arises that we do need to revisit the venue again, then a charge will be applicable to cover labour & fuel costs. This is especially applicable on large events.
